Job Title : Project Coordinator

Description
The Project Coordinator is an integral team member with a distinct and critical role in execution and success ofprograms and services globally.
Responsibilities include:
1. Learning and Development: Independently manage all aspects of logistics and planning associated with the delivery of learning and development programs, including coordination of multiple, and at time simultaneous, programs on an ongoing basis.
Project management of programs includes the following core responsibilities:
(a) using HRIS and other systems and resources to identify appropriate program participants
(b) developing program communication materials appropriate for effective communication with program participants at all levels
(c) managing program registration processes (d) administering and tracking pre-work and required assessments
(e) ordering, invoice management and charging back to the business owners (as necessary) all materials and resources.
In addition, this position will develop professional-looking and user-friendly documentation and resource materials (i.e., reference guides, presentation slides) that enhance and support the learning outcomes of global OD programs.
2. Talent and Performance Management: Independently manage technology vendors, implement system modifications, and provide user support for Company
?s performance management system (currently SuccessFactors) globally.
In partnership with OD team members, prepare and enhance templates, presentations, and communications associated with the Organization and Talent Planning (OTP) Process, performance management, goal setting, and the annual Board of Directors talent review; using advances skills in PowerPoint, Word and Excel.
3. Invoice Management: Independently manage all vendor contracts and invoices, including charge backs to the business (as necessary) that are processed through the OD department, including but not limited to those for learning and development classroom programs, the Ignite Grant, and external coaching.
Bachelor's degree required
Experience in process and project management and/or event management, and in the delivery and management of multiple large scale corporate-wide initiatives simultaneously.
Experience troubleshooting and addressing last minute changes and challenges that may arise in executing programs and delivering services.
Experience with data management in Excel and more advanced database management.
Experience with and comfort learning new web and/or technology based systems such as WebEx, SuccessFactors, SurveyMonkey.
Ability to see the interconnectivity between parts and the upstream and downstream ramifications of actions taken.
Proficient in Microsoft Office (e.g., PowerPoint, Excel and Word).
Must have skill sets: Scheduling experience using MS Project Minimum 1 year experience as a Project Coordinator in IT Familiarity with PMBOK project phases Minutes and/or Meetings Management - scheduling, web-ex set up, roll-call
• Action Item, Risks, Issues, Decision documentation, tracking & follow-up
• Tools: Clarity PPM (Portfolio and Project Management) Tool: o Resource Requests/Allocations and administration
o Creation of tasks and task assignments based on the PM WBS, schedule, and
o resource plan o Maintenance of Resource Plans o Running Clarity Labor Detail Report
o Timesheet Approval/ Audit time approval MS Office:
o MS Project o Excel, Word, PowerPoint, Visio SharePoint
• Project Coordinator can administrate the consolidation and view of the resources/hours
• Project close out
• Status Reporting
o Collect and track status reports; consolidation of project/ program status
o Create draft ePMO (ppt) weekly status report o Draft Clarity Status Report o Send approved status report to stakeholders on behalf of the PM
• Financials o Invoice reconciliation and tracking against PO
o Update labor tab of Budget Allocation Worksheet (BAW) o Update BAW and Post to SharePoint (after review and approval from PM)
• Project Planning o Update the Project Plan (Clarity or MS Project)
o Consolidate and track project plans into overall integrated project plan
o Document scheduling assumptions, constraints and decisions
o Update the project schedule with the weekly status submitted by the project team leads. (Clarity Gantt and MS Project)
o Utilize standard templates and reinforce following standards and processes with our PMs and project teams
o Conduct weekly schedule analysis to proactively identify risks and opportunities to successfully achieve the project objectives
o Monitor the progress of the schedule and communicate with PM on the status of team member tasks.
