Job Title: Administrative Assistant - 4002954
Job Type: Contract (12 Months)
Location : Swiftwater, PA
Roles and Responsibilities:
· This position is generally administrative and covers a wide range of activities and assigned tasks.
· Multiple demands are common and require a high degree of flexibility, judgment, and organizational & technical skills.
Key Accountabilities
· 25% - Maintain sufficient knowledge to enable independent fulfillment of job responsibilities.
· Prepare and process departmental paperwork, correspondence, presentations, reports, budgets, expense reports, travel requests.
· Review and refer responses to incoming email, mail and phone calls. Order office supplies, as required.
· Set up and maintain document files, including databases.
· 40% - Prepare and submit purchase requisitions on behalf of the Project Management group.
· Typically manage 200-300 purchase orders per calendar year. Requires expert knowledge of sanofi’s NEXTS procurement system and work processes.
· 35% - Work with the Project Management group to receive invoices in sanofi’s Catalyst system.
· Typically manage ~1000 invoices per calendar year. Requires a basic understanding of the accounts payable process.
Skills:
· At least 5 years work experience as an administrative assistant required.
· Experience with Microsoft Office including MS Outlook, Word, Excel, PowerPoint. Excellent oral and writing skills
· Preference will be given to candidates with previous sanofi experience, especially with NEXTS and Catalyst.
· This is typically a 40-hr/week job, but occasional overtime may be required.
Education:
· High school graduate minimum requirement; preference will be given to qualified college graduates.
· This role primarily supports Director of Project Management within Industrial Operations.
· Documents and data produced and maintained by this function are integral to the successful completion of capital projects at the Swiftwater site.
· Proven ability to work independently, highly organized and effective in handling multiple detail-oriented projects in a fast-paced environment.
· Must exercise discrete and judgment in handling confidential/proprietary information.
· Ability to anticipate needs, resourcefulness and responsiveness are essential.
· Attentive to details and results.
